Privacy Policy
The short version. BrainHD needs what you tell it, including voice recordings, to organise your day. We use that only to run the app for you. We do not sell your data, show ads, or use tracking or analytics tools. Your recordings and text are processed by Google Firebase, OpenAI and Anthropic on our behalf. You can ask us to delete everything at any time.
1. Who we are
BrainHD is an iOS app operated by Hiba Abbas ("we", "us"). If you have any question about this policy or your data, email hibaabbas1306@gmail.com.
2. What we collect
Things you give us
- Voice recordings. When you hold the microphone or record a voice dump, the audio is uploaded so it can be transcribed. The app tells you this in its own words before your first recording, and only starts recording once you have read it.
- Transcripts and typed text. What you say or type about your life, goals and tasks, and the transcripts made from your recordings.
- What the app builds from that. Your tasks, areas, day plans, a written summary of your situation and goals, and any names you confirm or correct.
- How your brain works (optional). If you choose to answer, whether you have been diagnosed with ADHD, ADD, AuDHD or autism, and your answers to the optional self-check questionnaire. This is sensitive information. Every question is skippable and you can change or remove your answers in Settings. The self-check is not a diagnosis.
- A first name, if you tell us one.
Things created as you use the app
- Progress. Completed tasks, XP, levels, streaks and movement breaks. Your city is drawn from these on your device.
- An anonymous account ID. BrainHD does not ask for your email or a password. Firebase gives your install a random ID so your data can be kept private to you.
- Notification details. A push notification token, any quiet hours you set, and when you last opened the app, so reminders arrive at sensible times and a check-in can reach you after a long gap.
- Subscription status. Whether you have BrainHD Plus. Payments are handled entirely by Apple. We never see your card or payment details.
Things that stay on your device
Your chosen theme, whether you have seen the app tour, an in-progress focus timer and recordings waiting to upload are stored only on your phone.
Things we do not collect
No location, contacts, photos, advertising identifiers, browsing history or health data from Apple Health. BrainHD contains no advertising, analytics or tracking software, and we do not track you across other apps or websites.
3. How we use it
Only to provide BrainHD to you:
- turning your recordings into text, and translating them into English if you speak another language;
- sorting what you say into tasks and areas, sizing them and suggesting the next one;
- building your day plan and your written summary;
- sending reminders and check-ins you have allowed;
- tracking your progress and subscription.
If you answered the optional questions about how your brain works, they are used only as background for how finely to break tasks down. The app never tells you, or anyone, that you have or do not have a condition.
We do not sell your data, share it for advertising, or use it for anything unrelated to running the app.
4. Who processes it for us
We use these service providers. Each receives only what it needs for its job.
- Google Firebase (Authentication, Firestore, Cloud Storage, Cloud Functions, Cloud Messaging, Hosting). Stores your data and runs our servers, in the United States.
- OpenAI. Receives your voice recordings to transcribe them, and your transcripts to translate them when they are not in English.
- Anthropic. Receives your transcripts, tasks and summary to organise them, plan your day and write reminders. Your optional self-reported information is included as background.
- Apple. Processes subscription payments and delivers push notifications.
OpenAI and Anthropic both state that data sent through their business APIs is not used to train their models by default.
5. How long we keep it
We keep your data for as long as you use BrainHD, so the app can keep learning how you work. Voice recordings are kept with the rest of your data until you delete them. You can delete everything yourself at any time from the app (You, Settings, Delete my data): your recordings, transcripts, tasks, plans, progress and account are removed from our servers straight away. If you would rather email us, we do the same within 30 days.
6. Your choices and rights
- Access or export. Ask us for a copy of your data.
- Correction. Edit tasks and answers in the app, or ask us.
- Deletion. Delete everything yourself from Settings, or ask us to.
- Notifications. Turn them off at any time in iOS Settings.
Because your account is anonymous, we need your Support ID to find your data. You will find it in BrainHD under You, Settings, Help, Support ID. Tap it to copy it, then email it to hibaabbas1306@gmail.com with your request.
Deleting the app from your phone does not delete your data from our servers. It only removes your access to it, and because there is no login, it cannot be recovered on a new phone. Use Delete my data in Settings before you delete the app, or email us and we will do it.
Depending on where you live (for example the UK, the EU or California), you may have further rights, including to object to processing or to complain to your local data protection authority. We will honour these requests.
7. How we protect it
Data is encrypted in transit and at rest by Google Cloud. Access rules mean each account can read only its own data, recordings are private to the person who made them, and our AI service keys are held on our servers, never in the app.
8. Children
BrainHD is not directed at children under 13, and we do not knowingly collect their data. If you believe a child has used BrainHD, contact us and we will delete it.
9. International transfers
Our servers and service providers are in the United States. If you use BrainHD from elsewhere, your data is transferred there and protected as described in this policy.
10. Changes
If we change this policy, we will update the date at the top and, for significant changes, tell you in the app.
